Team and roles
Invite teammates with read-only, edit or admin access, transfer ownership, and trace changes in the activity trail.
A workspace has one owner and can include unlimited teammates. Access is expressed through three member roles: read-only, edit and admin.
Choose the smallest useful role
| Role | Intended access |
|---|---|
| Read-only | Explore the workspace and export its data without changing the taxonomy |
| Edit | Do the day-to-day work of organizing and naming tags |
| Admin | Manage the workspace and the people collaborating in it |
| Owner | Holds ownership, billing responsibility and the ability to transfer ownership |
The owner is separate from the three invitation roles. There is only one owner at a time.
Invitations are bound to an address
Enter the teammate’s email address and choose the role they should receive. The invitation only works for that address.
Forwarding the invitation link to somebody else grants them nothing. This lets the workspace keep the intended identity and role tied together from the start.
Change responsibility deliberately
Admins can manage the working team. When the person ultimately responsible for the workspace changes, use ownership transfer rather than trying to approximate ownership with another role.
Review the selected person and the effect of the transfer before confirming it.
See who changed what
The workspace activity trail keeps 90 days of changes in sentence form: who did what, and when. Filter it by resource, severity, actor or date.
For a narrower question, open the menu on a folder, group, category or tag and view that object’s own history.
“Who archived this?” is a question about one folder. Ask it from that folder’s menu.
